How to Add Page Numbers to a PDF (Skip the Cover, Use Page X of Y)

The board pack is due at nine tomorrow. You merged the agenda, the minutes, three reports and the budget into one 42-page PDF, and it looks great. Then you picture the meeting: "If everyone turns to... um, the page with the chart, about two-thirds of the way through." It needs page numbers.

When a PDF is stitched together from several sources, going back to edit each original is not realistic. Luckily you can add page numbers to the finished PDF directly, and even skip the cover so numbering starts where it should.

The short version: open Add Page Numbers, pick a position on the little page grid and a format like Page 1 of 10, set Start on page to skip the cover, check the live preview, and click Add page numbers.

Step by step

  1. Open Add Page Numbers and add your PDF. A preview of the first page appears.
  2. Click a position on the page grid: bottom center and bottom right are the classics.
  3. Choose a format, such as 1, Page 1 of 10 or 1 of 10.
  4. Set Start on page and, if needed, First number and End on page.
  5. Adjust the font, size, margin and color while watching the preview, step through a few pages, then click Add page numbers and download.

Numbering and preview both happen in your browser, so the board pack is never uploaded.

A worked example: the 42-page board pack

Page 1 is a cover, page 2 is the contents. The last two pages are appendices that should stay unnumbered.

  • Start on page: 3 (the agenda).
  • First number: 1, so the agenda is page 1.
  • End on page: 40, leaving the appendices clean.
  • Format: Page 1 of 10. Totals count only the numbered pages, so the last numbered page reads Page 38 of 38.
  • Position: bottom right, 10 point Helvetica, a margin that clears the existing footers.

"It's the page with the bar chart, about two-thirds through." Everyone flicks around for a minute.

"Turn to page 27." Everyone is there in two seconds, on paper or on screen.

Add page numbers last. If you merge, delete or reorder pages afterwards, the numbers move with their pages and stop being in sequence. Finish the content, then number it.

Printing double-sided?

For a booklet or bound report printed on both sides, numbers look best on the outer edge: right on odd pages, left on even pages. Turn on Mirror on even pages and the tool swaps sides automatically.

Landscape and rotated pages

Budgets and wide tables are often landscape pages inside a portrait document. Numbers are placed relative to how each page is displayed, so landscape and rotated pages get upright numbers in the correct corner rather than sideways ones running up the edge. The preview is rendered from the real output, so what you see is what you get.

Fonts and the footer question

Numbers use the standard PDF fonts: Helvetica, Times or Courier. They cover Latin characters, which is everything a page number needs. The numbers are added as real text on top of the page and do not move existing content. If your document already has a footer, increase the margin or pick a top position so the two do not overlap; the preview makes it obvious.

Which format to choose?

FormatGood for
1Books, reports, anything formal
Page 1 of 10Contracts, forms and anything where a missing page must be obvious
1 of 10The same idea, more compact

"Page X of Y" is quietly useful for legal and HR documents: if someone receives pages 1 to 9 of 10, they know something is missing.

Other finishing touches

  • Stamping "DRAFT" or "CONFIDENTIAL" across every page? Add Watermark to PDF does that.
  • Still assembling the document? Combine the parts first with Merge PDF, then number.
  • Want the title and author to show in PDF readers? Edit PDF Metadata sets them.

Numbering several documents the same way

If you produce the same kind of document every month, like a board pack, a monthly report or a set of meeting minutes, note your settings once: the position, the format, the font size and the margin. Then every pack looks the same, and people quickly learn where to look for the number. Consistency is what makes a document feel professional, far more than any particular font.

Scanned documents work too

Page numbers can be added to scanned PDFs just as well as to exported ones, because they are drawn on top of each page. That is handy for a stack of signed forms or old paperwork you are about to send off: number the scan before it goes, and the recipient can refer to "page 6" with confidence. If some scanned pages are sideways, straighten them with Rotate PDF first, so you can check the numbers land in the right corner in the preview.

Other ways to do it

If you still have the original Word or Google Docs file and it is a single document, adding page numbers there (Insert > Page Number) and exporting again is perfectly good. Adobe Acrobat Pro can add numbers through its Header & Footer tool. Mac Preview cannot add page numbers.

Quick answers

How do I start numbering on page 2?

Set Start on page to 2. Leave First number at 1 if the second page should show 1.

Will the numbers cover my content?

They are drawn at the margin you choose. Use the preview and increase the margin if they overlap a footer.

Is my PDF uploaded?

No. Numbering and preview both run in your browser.
